Parent and Staff Communication
Plan
At the beginning of every year, a parent orientation is held to introduce parents to
the 21st CCLC Program staff and facilities.
Those students enrolling in the program after the initial orientation receive a one-on-one tour of the
program. Volunteers meet with the site coordinator where they
receive a parent guide outlining the program rules, demands and expected outcomes.
As a means of maintaining contact between regular school day staff and
21st CCLC staff, an academic case manager meets with students/teachers at their day schools.
The academic case manager monitors the student’s grades, attendance and behavior via infinite campus. She
keeps information flowing from day teachers to our tutors via email/personal updates. The information may
include upcoming tests information, classroom behavior, school discipline, classroom preparedness, homework
assignments, general day school progress. It assists our team in directly addressing day teachers’
concerns.
The site coordinator directly communicates with
parents during the day via email and phone support. The site coordinator also utilizes his cell phone to offer
weekend and after hours support to assist parents. This has become popular with many parents texting/calling
with concerns. The site coordinator encourages this by giving out business cards and letters with contact
numbers and instructions on which numbers are the best ways to communicate during what times/days.
Parent meetings are also used as a means of communicating
individual student progress.
Probation officers, for those participants court
ordered into the program, serve as an additional support for communication between school day staff and
21st CCLC staff. During the initial meeting with
their probation officer, participants and parents are given the Parent Guide with all necessary forms and
waivers, program goals, expectations, demands, rules and expected outcomes are explained along with probation
rules and expectations. The probation officer makes weekly contact
with the Board of Education for attendance, discipline and grade updates. The site coordinator and probation officers communicate daily about student
progress and missteps via email and phone. This information is used
to determine Violations of Probation, which are brought before the judge for disposition.
